    VOLUNTEER INFORMATION

                2009-2010

 

 

The THS PTSA is able to achieve their goals because of the generous help and support of our parent and student volunteers.  Volunteers are needed in many areas of the school as well to enhance the appearance of the school and to assist staff in special areas. 

 

ALL volunteer efforts on behalf of Tabb High School – PTSA, athletics, band/music, clubs and organizations, school – are important and we want to be sure to “Count You In” when we tally those hours each month to report to the school district administration office.  As you volunteer (whether making phone calls, selling fundraiser items, team coordination, etc.) please be sure to keep track of your time and report that time to the PTSA volunteer coordinator each month.  Volunteer hour reporting forms are available on the PTSA website and on the PTSA bulletin board in the school cafeteria.

 

Please review the volunteer needs for the upcoming year, then fill out the attached Volunteer Sign Up Form and return to PTSA.  Help is needed at all times during the year, and some committees specifically need help later in the year (such as After Prom Grad Party).  Remember that student PTSA members may volunteer in any area of interest as well as hold any position in the PTSA except president or treasurer.  So, encourage your child to volunteer in PTSA activities – which also counts as community service time!

PTSA VOLUNTEER NEEDS:

 

MEMBERSHIP committee volunteers are the first line “sales” staff for the PTSA.  Volunteers are needed at all major school events (Open House, Back to School Night, parent meeting nights) to sell PTSA memberships to parents and students.

 

FUNDRAISING committee coordinates events to provide sufficient revenues to cover approved PTSA programs and activities.  Volunteers are needed to assist with the planning and coordination of specific fundraisers, such as selling spirit wear items at school events or athletic events, or supervising students at car washes.

 

HOSPITALITY committee volunteers coordinate all staff appreciation events and refreshment needs for PTSA functions as needed.  A buffet luncheon is provided for all staff five times per year (welcome back to school and each interim prep day); volunteers provide the majority of the food for these luncheons.  Parents who like to cook or bake are encouraged to sign up to help with food!  Donations of beverages/food items (such as condiments, rolls/buns), paper products and supplies are also needed.  This year, PTSA will also be collecting recipes for dishes provided at these luncheons to be included in a Hospitality Cookbook (to be on sale by next spring).  Volunteers are also needed at each luncheon to set up, serve and clean up.  In May, special treats are prepared each day of Teacher Appreciation Week.  If you are a frequent shopper and would like to help plan and assemble door prizes for the staff luncheons, please let us know!

 

REFLECTIONS/CITIZENSHIP ESSAY volunteers are needed to assist with collection of student entries, to get the entries to/from judges, and to assist with forwarding entries to the next PTA level.  At the high school level, students are able to prepare and package their own entries according to the PTA guidelines. 

 

LEGISLATION committee is responsible for monitoring child/education advocacy at the state and national legislative levels and informing our members when an issue needs their attention.  The Virginia PTA also prepares a Proposed Legislative Plan that is presented to members for their votes; this committee collects tallies and reports the vote count to the Virginia PTA.  Volunteers on this committee also coordinate activities with the York County Council of PTAs, such as assisting with the Health Fair and parent information nights.

 

 

BACCALAUREATE is an ecumenical service planned by the senior class held the evening before graduation in the THS auditorium.  Underclassmen parent volunteers are needed to help set up, decorate, serve and clean up for the cake and punch reception immediately following.

 

PUBLICITY committee volunteers coordinate dissemination of information to PTSA members, such as preparing articles for insertion in the various newspapers, posters, y-Line and the PTSA website.  Additional volunteers (especially students) are needed to assist with information gathering, photography, and website design/upgrade ideas. 

 

AFTER PROM GRAD PARTY committee plans the single largest PTSA event of the year.  This free all-night party is held for all seniors and their guests after the prom dance ends, but attendance at the prom is not required to attend the grad party.  Parents provide a safe, alcohol and drug free party filled with lots of fun activities and prizes to keep the students entertained all night.  Much planning and behind-the-scenes work goes into this event, and there are ample opportunities to volunteer no matter your schedule.

·         Set Up/Tear Down:  Parents are scheduled to help set up needed equipment and decorations (such as tables & chairs, inflating balloons) as needed before the party (must be finished by 11:30 pm).  Another group of parents is needed to help take down decorations, remove trash and return the facility to pre-party condition; this job begins at 5:00 am so is ideal for the early morning person!

·         Decorations committee plans the layout and decoration scheme for the event.  Each year some new decorations are added or replaced and “crafty” assistance may be required (i.e. cutting and painting Styrofoam “coral” and seashells).  Prep work is done throughout the year, and volunteers are also needed to assist with set up and take down to protect the decorations for reuse next year.

·         Food committee plans the refreshments for the night.  Since the students will not have eaten since before the dance, there is a substantial food bar set up.  Volunteers are needed to help plan and coordinate the menu as well as to provide individual food items (such as chicken nuggets, fresh fruit, donuts) needed for the menu.  Parents are also needed to serve and maintain the food bar from midnight to 4:30 am. 

·         Game/Casino workers are needed to supervise the various activities during the night.  The casino room offers an assortment of card games (24, Texas Hold ‘Em, etc.).  Bingo games are played throughout the night.  Parents are also needed to monitor the various games (mini golf, obstacle course, etc.).  Game workers pass out Funny Money to students who participate. Funny money is used by the students to purchase raffle prize tickets. These volunteers will work from midnight to 4:30 am.

·         Chaperones are needed from midnight to 4:30 am to monitor student activities and to ensure that no one sneaks in or out through a side door!  Chaperones may also be asking random trivia questions of students with funny money given for correct answers.  Funny money is the currency used for the night; students use it to purchase raffle prize tickets.  Chaperone volunteers will work from midnight to 4:30 am.

·         Ticket Sales committee coordinates access to the party.  An assembly is held to inform seniors of the procedures and to distribute required risk and release forms.  Parents are needed to collect completed forms during lunch blocks (10 am to 12:30 pm) each day the week before prom.  Volunteers are also needed the night of the party to verify admission permission and forms and to notify parents when a child leaves early.  This work shift is from 11:30 pm to 4:30 am.

·         Prize committee coordinates the raffle prizes, including deciding what the prizes will be, how many to have, and obtaining those prizes.  In addition, volunteers are needed to distribute prizes throughout the night and to assist with the grand prize drawings at the end of the party.  Preparation help is needed in April and May, and volunteers the night of the party will be needed from 11:30 pm to 5 am.

SCHOOL VOLUNTEER NEEDS:

 

BULLETIN BOARDS – Volunteers are needed to assist administration with updating and maintaining the various informational bulletin boards throughout the building.

 

LIBRARIAN needs volunteers to assist with reshelving books during the school day.

 

NURSE needs volunteers to assist with annual testing requirements during the school day and occasional office coverage.

 

HANDYMAN/WOMAN needed to help with odd chores such as hanging pictures, decorative painting, etc.
